Connect WhatsApp Business to RevoplyAI
Connecting your WhatsApp Business number to RevoplyAI is one pass through the Channels page: pick a method, sign in with Facebook, confirm from the app on your phone. If the number is already live in the WhatsApp Business app, pick coexistence. The app on your phone carries on exactly as it does today, and the same number runs on the official Meta API underneath it.
What follows is that path from the first click to the moment the channel card reads Connected. It also covers what the connection does not do, which is the part people find out on day two.
Which route fits your number?
Open Channels, find WhatsApp, click Activate. The first screen asks how you want to connect. Two of the cards are for real customer traffic, and which one you want is decided entirely by the history of the number in your hand.

There is a third card, a quick connect by QR, and the product badges it testing only for a reason we would rather you read here than learn later. It is not an official Meta path. WhatsApp detects numbers linked that way and bans them permanently, and a banned number cannot be recovered by us or by Meta. Use it with a spare number if you want to watch the product work. Never with the number your customers write to.
Coexistence is what we recommend to almost everyone, and it is what the wizard itself switches to the moment you tell it the number is on the Business app. Nothing migrates, nothing goes dark, and no customer has to save a new number. What do you need before you start?
- The WhatsApp Business app on your phone, version 2.24.17 or newer, with the number already registered in it. Older builds do not offer the option at all, so update before you begin rather than hunting for a button that was never there.
- A Meta Business account you can sign in to yourself. A colleague's login strands you at the Facebook window with nothing to click.
- A few quiet minutes with the phone in your hand. Half of this happens on a desktop and half on the phone, and the two halves are minutes apart, not days.
Two things are worth knowing before you start rather than after. Coexistence is still marked beta in the product, and Meta has not opened it in every country. If yours is one of the unsupported ones, the Facebook window is where you will find out, so try it on a quiet afternoon rather than half an hour before you need it working.
What does RevoplyAI ask before it hands you to Meta?
We put a short questionnaire in front of Meta's window on purpose. Most of the failed connections we watched were already decided before that window opened: the number was still held by another provider, or the person clicking had no Business Manager access. Once you are inside Meta's popup, every failure is Meta's to render, and it renders them tersely. Two questions on our side catch most of it, in our own words, where we can actually help.
The first asks what state your number is in. Each answer goes somewhere different:
- New, not linked to any WhatsApp account. Straight on to the API route. Nothing to untangle.
- Linked to a personal WhatsApp account. That account has to be deleted from the app first. Back up the chat history before you do, because deleting it is not reversible.
- Linked to the WhatsApp Business app. The wizard stops talking about migration and offers coexistence instead. This is the common case, and the happy one.
- Registered with another provider. Ask them to start a migration request, then come back once the number is released. Budget one to three business days.
- No number available. You can take a free virtual number from Meta during setup, or bring your own.
The second question is about Meta Business Manager access, because creating a WhatsApp Business Account needs four things you may have to go and find: your business name as customers see it, your legal company name, your official business address, and your commercial registration. Until Meta verifies the business you can message up to 250 new customers a day, which is generous while you are testing and a ceiling you will want lifted before a campaign. Getting past it is the same verification that leads to a verified business profile on WhatsApp.
Both questions carry a Skip eligibility check link. It exists for people who already know their situation. It is not a way past a real problem: skipping a gate you should have answered just moves the failure into a window we cannot explain for you.
How do you connect it, step by step?

Channels, WhatsApp, Activate. Choose WhatsApp Business App (coexistence). Read the two short lists on the disclosure screen, headed Before you connect and After you connect, because they are the honest summary of everything below. Continue, and the last screen on our side hands you to Facebook.
In the Facebook window
Sign in if you are not signed in already, then pick the WhatsApp Business number you want to connect and continue. Meta checks the number and puts a QR code on your desktop screen. Leave that window exactly where it is. You are about to point a phone at it.
On your phone
- Open the WhatsApp Business app. A message from Facebook Business should be waiting in the chat list.
- Tap Connect inside that message, then Connect to Business Platform.
- Choose whether to share your existing chats. Meta offers up to six months. Read the next section before you decide this matters.
- Point the reader that opens at the QR code on your desktop, and wait.
If the Facebook Business message never arrives, the camera button on the app's main screen does the same job and reads the same code.
Back in the dashboard
A few seconds after the scan the phone confirms, then the desktop follows. Confirm, finish, and the channel card should read Connected. Click Settings on that card and check the phone number it lists against the one you meant to connect. That single glance is worth taking: a business with two numbers can connect the wrong one and not notice until a customer asks why nobody replied.
What does coexistence not bring across?
Meta offers to sync up to six months of chat history during setup, and most guides stop there. Here is the part that matters to you: that history goes into your WhatsApp Business Account, and it does not appear in the RevoplyAI inbox. Neither do your existing contacts. The inbox starts at the moment you connect and fills from there.
- Conversations from before the connection stay in the phone app, where they already are. Nothing is lost. It is simply not imported.
- Messages sent from WhatsApp for Windows or a WearOS watch do not reach the RevoplyAI inbox. The phone app does. The desktop client does not.
- The 14 day rule is a timer, not a nudge. Let the app sit unopened past it and the channel disconnects.
None of this breaks anything, but it does mean the first day looks emptier than people expect, and it means a team that lives in the WhatsApp desktop client needs a different habit. Putting the dashboard on their phones is usually the easier half of that conversation, since it also gets escalations onto the lock screen.
What if it does not connect?
Three failures cover nearly everything we see, and none of them needs a support ticket.
- Nothing arrives in the app. The Facebook Business message is the usual route and the camera button is the fallback. If neither works, the app is almost certainly older than 2.24.17.
- Facebook refuses the number. It is still held somewhere: another provider that has not released it, or a personal WhatsApp account sitting on the same number.
- The channel breaks weeks later. Meta expires access tokens, and an account can be unshared in Business Manager by someone tidying up permissions. The card carries a Reconnect WhatsApp button. Use that rather than disconnecting and starting the whole flow again.
Once the card reads Connected, the number is live on the official API and the assistant answers from your own knowledge base, in the same thread your team can see. If the number has never carried real volume, warm it up before you send at scale rather than after.
